Abstract

Student admission system is a web application interface that students usually use to apply for admission into a university. The traditional admission process has two steps. The first step is when the students fill in a form by providing all the required information from the admission office, like the personal information, previous academic records, English test results (IELTS or TOEFL) and the program they want to study. The second step is to upload the required documents that verify the information provided in the first step, like the identity card, national number, passport copies, TOEFL/IELTS test results, past bachelor/master certificate or secondary score. This process is very stressful and cumbersome, for both the students and the admission staff. The students need to fill a long list form, with accurate details, and the admission staff members need to re-check and verify the filled form, and send the form back to the student for correction when required, or proceed with the application form. In this work, I am proposing a POC for AI web-based application that will re-engineer the admission process by reversing the admission steps; Where the first step will be uploading all the documents so the system will know the type of the uploaded document, extract the required information from these documents, and auto-fill the admission form for the user. The next step will be when the user will validate the filled fields and do a final check before submitting the form. The POC is utilizing AI and the cloud state-of-the-art services that uses text detection and analysis techniques to analyze the uploaded documents. This AI solution will save the students and staff stress and time reading the applications, avoid typos in the forms, eliminate the repetitive staff tasks, reduce the process time and human intervention, decrease the required admission staff, and save the costs of admission departments.
